When several jobs are active at once, consistent records matter more than any one dashboard. The goal is to make it easy to see which customer and document each action belongs to.
Use estimate and invoice statuses as workflow indicators, then use the payment ledger for the actual financial position of an invoice. A status label alone is not a substitute for the amount received, refunded, net collected, or balance due.
ProQuote keeps customers, estimates, invoices, and payment records in the same account. Paid plans add more workflow and financial tools, including expenses on Basic and time tracking and profitability tools on Pro.
For partially paid or refunded invoices, review the recorded payment summary instead of inferring the balance from whether an invoice is simply marked paid or unpaid. ProQuote’s current invoice and Customer Portal financial summaries use the ledger values for that reason.
