How to Set Up Recurring Billing for HVAC Maintenance Contracts

Published by ProQuote · July 26, 2026

When a maintenance agreement repeats the same defined service on a known cadence, recurring billing can reduce manual invoice creation. The scope, price, and schedule still need to be clear before automation starts.

Define the repeating service first

Document the services included, cadence, price, and any work that is outside the recurring agreement. If the service changes later, update the arrangement rather than continuing to send an invoice that no longer matches the work.

Use automation for the repeatable part

ProQuote Pro recurring billing can generate invoices on the configured schedule so the contractor does not have to recreate the same billing record manually each cycle. Payment reminders can support follow-up on unpaid invoices without changing the underlying amount owed in ProQuote.

Keep one-time work separate

A system replacement or repair with a different scope should still get its own estimate and invoice. Recurring billing is useful for the predictable maintenance portion, not as a substitute for documenting new work.
